Custom Roles

Who is this guide for?

For owners, administrators, and specialized managers of an institution, company, or other client organization. Depending on your role, scope, and contract, some sections may not appear.

Tralo or Tralo Admin?

Authors create and edit their stories in Tralo. Tralo Admin is used to manage the organization, permissions, responsibilities, review, publication, and aggregate tracking.

Chapitre 1

Activating Access and Securing Your Account

Access to the console begins with a personalized invitation sent to a specific email address. The must use exactly that address, and it must be verified.

  1. 1
Open the link sent to the invited email address and do not forward it.
  2. 2
  3. 3
If the account has just been created, verify the email address using the verification email, then return to the invitation.
  4. 4
  5. 5
Enable two-factor authentication: confirm your password, scan the QR code with an authentication app, and keep the backup codes in a safe place.
  6. 6
For subsequent logins, enter the six-digit code. A sensitive action may require a new verification if your enhanced session has expired.

Chapitre 2

Understanding Roles, Licenses, and Scopes

These three settings address three different questions: What can the person do? What use of the product is , and what part of the organization can they act upon?

Available licenses

Creator

An active member holds a Creator license. This license is required to write organizational content in Tralo when their role permits it.

Admin Only

An active member can administer according to their roles without taking up a Creator license. They then remain read-only in the authoring workshop.

Chapitre 4

Set up the organization in the correct order

A phased setup prevents misassigned invitations, overly broad permissions, and when teams join the workspace.

  1. 1
  5. 5
Invite people individually or, if the contract allows it, import a CSV file with a maximum of 50 rows.
  6. 6
Define the review workflow: managers, reviewers, users authorized to publish, and organizational scopes.
  7. 7
Regularly review alerts, the security status, and the audit log.

Chapitre 5

Manage members and invite additional administrators

Invitations are personalized, traceable, and revocable. You can add as many administrators as your organization needs, within the limits of the licenses provided for in the contract.

Invite a person

  1. 1
  2. 2
Enter the email address, first name, and last name, then select the role, license, and scope. Add a message if necessary.
  3. 3
Double-check the email address: the recipient must join the organization using exactly this address.
  4. 4
  5. 5
After acceptance, verify the role, license, units, status, and 2FA activation in the member’s profile.

Management Continuity

Add another manager or administrator

Global Administrator

Secondary Owner

The Owner role is not offered in the standard invitation. First invite the person with another role, wait for their acceptance, and then an active owner can promote them from their profile.

Importing Invitations via CSV

  • The Owner role is not allowed in the CSV. Roles limited to a single unit require an active unit.
  • The preview estimates the licenses; the final report details the result for each line.

Manage existing members

  • Search by name or email and filter by status, license, role, unit, or last activity.
  • Only active members are counted toward Creator and Admin-only licenses.
  • Bulk actions apply to a maximum of 50 members and are atomic: if one protection fails, no member in the batch is modified.

Export the directory

Chapitre 6

Building and Evolving the Structure

The structure is a tree. A unit can represent a campus, a college, a department, a school, a team, a department, a program, or another entity relevant to your organization.

Add

Select the name, type, and parent. A restricted administrator remains within their branch.

Edit

Change the name or type without altering the content already associated with it.

Move

Select a new parent: the entire branch follows. A unit cannot become its own descendant.

Archiver

Confirm with the exact name. Active subunits must first be moved or archived.

Chapitre 7

Review, approve, and publish the content

The “Content” section displays the stories belonging to the organization within your scope. It requires the shared library associated with the contract. Tralo Admin manages the editorial workflow but does not replace Tralo’s scene editor.

Responsibility, Unit, and Visibility

The Review Process

  1. 1
  2. 2
The reviewer examines the description, scenes, choices, destinations, explanations, and and the moderation check associated with this version.
  3. 3
  4. 4
An authorized user publishes the approved version with a reason, provided that moderation permits it and the visibility is not set to Private.
  5. 5
Unpublishing stops sharing without deleting the history. Any editorial change invalidates the and requires a new review.

Chapitre 8

View statistics without monitoring individuals

Tralo Admin metrics are designed to track organizational adoption and trends, not to reconstruct a learner’s individual journey.

  • The Overview can display active members over the past 30 days, stories created and published, views, and aggregated completions.
  • With global scope and the functionality specified in the contract, the Statistics page displays up to 90 days of daily snapshots.
  • The screens are powered by aggregates; they do not track individual reading sessions.
  • Before the first actual snapshot, an empty report is displayed: no figures are fabricated.
  • Daily snapshots are not yet broken down by unit. A campus administrator sees the members and content of their branch in the Overview, but not the overall read aggregates.

Chapitre 9

Tracking Billing and Licenses

The Billing and Licenses page is reserved for roles with appropriate global access. It clearly distinguishes clearly distinguishes between organizational licenses and personal Tralo offers.

  • View the contract status and type, its term, the limit mode, and the Creator and Admin-only licenses used by active members.
  • The Owner and the Billing role can modify the billing address. This address is used for financial transactions, but does not grant any administrator access.
  • The price, purchased volumes, end date, contract type, and negotiated features cannot be modified via the customer console.
  • With a strict limit, an acceptance or reactivation may be denied. With an authorized overrun, it remains visible in the alerts.
  • Personal Tralo subscriptions never change the organization’s limits.

Chapitre 10

Monitor security, auditing, and exports

The security screens display the 2FA status of administrators, known domains, temporary support access , sensitive events, and authorized administrative exports.

Security and Support Access

The Security page displays active administrators and their 2FA status, as well as open domains and temporary support access. Entering a primary domain in Settings does not verify it: no DNS validation customer flow is currently available.

The Tralo team does not have permanent access to customer content. When diagnostics require it, support access must be justified, approved by another authorized person at Tralo, limited to a maximum of 24 hours, and strictly read-only. Its creation, expiration, and revocation are audited. The client administrator can view active access requests but cannot approve, deny, or revoke them from this screen.

Audit Log

If the audit log is included, it displays up to the 200 most recent events authorized by your scope: date, action, actor, target, and available IP address. Passwords, secrets, and tokens are never stored in this log. A role limited to a single unit sees only events related to its branch.

Two Exports, Two Uses

CSV Directory

Structured list of members, roles, units, licenses, statuses, and useful security information.

JSON Administrative Package

Organization, units, members, roles, invitations, contracts, functions, story metadata, alerts, and audit, without secrets or invitation tokens.

Chapitre 11

Understanding integration availability

Integrations are not yet configurable via self-service, and there is currently no “Integrations” section currently available in the customer navigation.

Integration families built around Tralo Admin
FamilleAffected ConnectorsCurrent Status on the Client Side
IdentityOpenID Connect and SAML 2.0No self-service configuration
ProvisioningSCIMNo self-service synchronization
LMSLTI 1.3 and MoodleNo self-service installation
DevelopersAPI TraloNo API credentials created in the client console

Contact Tralo to confirm whether a connector is available for your deployment and to arrange for its implementation . Do not send any identity or API secrets in a regular email.

Chapitre 12

Understanding statuses and read-only mode

An action may be denied even if your role appears to be correct: the organization’s status and the are also factored into the checks.

Behavior Based on the Organization’s Status
SituationConsole Behavior
Active or pending organization, valid contractChanges are possible depending on roles, scopes, available licenses, and the features of the contract.
Suspended organizationViewing may remain available, but invitations and other operational changes are denied.
Contract missing, overdue, expired, canceled, or outside the contract periodData remains viewable according to permissions, while protected operations switch to read-only mode.
Scheduled deletion or organization completedThe space is read-only and in retention. Perform authorized exports and contact Tralo without waiting for the end of the period.

In the event of unexpected read-only access, first check the status badge in the Overview and the contract status in Billing. If these pages are not visible with your role, ask an owner or the Billing manager to check them. Authorized exports remain separate actions and may still be available depending on your role and scope.

Chapitre 13

Implementing Best Practices for Operations

A few simple routines greatly reduce the risk of forgotten accounts, blocked licenses, orphaned content, or permissions that have become too broad.

For every new hire

Verify the email address, assign the minimum role, the correct scope, and the intended license, then verify acceptance and 2FA.

Upon departure

Transfer the content, deactivate the member, and verify that at least one active owner, ideally two, ensures continuity.

Every week

Process pending invitations, license alerts, content under review, and administrators without active 2FA.

Every month

Review roles, scopes, archivable units, support access, aggregated trends, and audit events.

Before a deadline

Generate authorized exports and request any contract changes well in advance.

Lors d'un incident

Note the time, page, action, exact message, and person involved before changing multiple settings.

Chapitre 14

Get help

If an invitation doesn’t arrive, if the last owner can no longer be reached, if the organization remains in read-only or if an authorized action fails, the Tralo team can help you diagnose the situation.

Preparing a Helpful Support Request

Include the organization’s name, the address of the affected account, the section, the action attempted, the exact message, the date, and the time. Include a screenshot only if it does not contain any confidential information.

Frequently Asked Questions

Can I invite another administrator?

Yes. Invite them as an Organization Administrator for overall management, or as a Campus Administrator for a branch. The Owner role is assigned after they join by an active owner.

Why isn’t a section appearing?

Navigation depends on the role, scope, and active features in the contract. An owner can verify your permissions; a campus scope does not grant access to strictly global screens.

Puis-je devenir administrateur de plateforme ?

No. Platform administration is reserved for Tralo’s internal operations. For a client organization, use Owner, Organization Administrator, or a specialized role.

Can a campus administrator export only their branch?

No. CSV and JSON exports of members cover the entire organization and therefore require a .

Can I disable 2FA?

No, not for accessing Tralo Admin. Two-factor authentication protects the organization, and a recent verification is required for the most sensitive operations.

Are you looking for the documentation for the creation workshop?

Stories, flashcards, sharing, personal statistics, and JSON format.
