The Complete Guide to Tralo Admin

From the first invitation to day-to-day operations: set up your organisation, add other administrators, assign permissions and manage content securely.

Who is this guide for?

Owners, administrators and specialist managers of an institution, a company or another client organisation. Depending on your role, scope and contract, some sections may not appear.

Tralo or Tralo Admin?

Authors create and edit their stories in Tralo. Tralo Admin is used to manage the organisation, permissions, responsibilities, review, publication and aggregated monitoring.

Chapitre 1

Activating access and securing your account

Access to the console begins with a personalised invitation sent to a specific email address. The account must use exactly this address, and it must be verified.

    Open the link sent to the invited email address and do not forward it.

Chapitre 2

Understanding roles, licences and scopes

These three settings address three different questions: what can the person do, what use of the product is , and which part of the organisation can they act upon?

Licences on offer

Creator

An active member holds a Creator licence. This is required to write organisational content in Tralo when their role permits it.

Admin only

An active member can administer according to their roles without taking up a Creator licence. They then remain read-only in the authoring workshop.

Chapitre 4

Set up the organisation in the correct order

A phased setup prevents incorrectly assigned invitations, overly broad permissions and licence when teams join the workspace.

    Invite people individually or, if the contract allows, import a CSV file with a maximum of 50 rows.

Chapitre 5

Manage members and invite other administrators

Invitations are personalised, traceable and revocable. You can add as many administrators as your organisation needs, within the limits of the licences provided for in the contract.

Invite a person

    Ouvrez Members, puis cliquez sur Inviter un membre.

    Enter the email address, first name and surname, then select the role, licence and scope. Add a message if necessary.

    Double-check the email address: the recipient must join the organisation using exactly this address.

Management continuity

Add another manager or administrator

Global administrator

Dans Membres, cliquez sur Inviter un autre gestionnaire administrateur. Le formulaire prépare le rôle organization_admin, la portée organization et la licence admin_only. Choisissez la licence Creator uniquement si cette personne doit aussi écrire des contenus dans Tralo.

Campus administrator

Pour déléguer une branche sans ouvrir toute l'organisation, choisissezCampus administrator et l'unité concernée. Ses droits couvrent cette unité et ses sous-unités actives.

Secondary owner

The ‘Owner’ role is not offered in the standard invitation. First invite the person with another role, wait for them to accept, and then an active owner can promote them via their profile.

Recommandation : conservez deux propriétaires actifs issus de personnes de confiance. Le dernier propriétaire ne peut pas être retiré, suspendu ou désactivé tant qu'un autre propriétaire actif n'assure pas la continuité.

Importing invitations via CSV

Le bouton Importer un CSV apparaît uniquement si votre rôle autorise les invitations et si cette fonctionnalité est active au contrat. L'import prépare des invitations ; il ne crée pas immédiatement les comptes et ne réserve pas les licences.

  • Maximum 50 personnes par fichier, avec une adresse unique par ligne.
  • Colonne obligatoire : email. Colonnes reconnues : first_name, last_name, role, license et unit_path ou unit. Virgule et point-virgule sont acceptés.
  • Sans valeur explicite, le rôle est author et la licence creator.
  • The ‘Owner’ role is not permitted in the CSV. Roles restricted to a single unit require an active unit.
  • The preview estimates licences; the final report details the result for each line.

Manage existing members

  • Search by name or email and filter by status, licence, role, unit or last activity.
  • Suspendre coupe temporairement l'accès ; réactiver le rétablit si une licence est disponible.
  • Deactivate retire les rôles actifs. Transférez auparavant les contenus gérés à un autre membre actif si nécessaire.
  • Only active members are counted towards Creator and Admin-only licences.
  • Bulk actions apply to a maximum of 50 members and are atomic: if one protection fails, no member in the batch is modified.

Export the directory

Exporter les membres produit un CSV global contenant identifiant, identité, e-mail, statut, licence, rôles, unités, 2FA, arrivée et dernière activité. Cette opération exige une portée sur toute l'organisation, la permission d'export et une vérification 2FA récente. Elle est auditée et limitée à dix générations par heure et par administrateur.

Chapitre 6

Building and developing the structure

The structure is a tree. A unit may represent a campus, a faculty, a department, a school, a team, a department, a programme or any other entity relevant to your organisation.

Add

Select the name, type and parent. A restricted administrator remains within their own branch.

Edit

Change the name or type without altering the content already attached.

Move

Select a new parent: the entire branch follows. A unit cannot become its own descendant.

Archiver

Confirm with the exact name. Active sub-units must first be moved or archived.

Chapitre 7

Proofread, approve and publish the content

The ‘Content’ section displays the stories belonging to the organisation within your scope. It requires the shared library linked to the contract. Tralo Admin manages the editorial workflow, but does not replace Tralo’s scene editor.

Responsibility, unit and visibility

The review process

Chapitre 8

View statistics without monitoring individuals

Tralo Admin metrics are designed to monitor adoption and organisational trends, not to reconstruct a learner’s individual journey.

  • The Overview can display active members over the last 30 days, stories created and published, views and aggregated completions.
  • With a global scope and the functionality specified in the contract, the Statistics page displays up to 90 days’ worth of daily snapshots.
  • The screens are powered by aggregates; they do not analyse individual reading sessions.
  • Before the first actual snapshot, an empty report is displayed: no figures are made up.
  • Daily snapshots are not yet broken down by unit. A campus administrator sees the members and content of their branch in the Overview, but not the overall read aggregates.

Chapitre 9

Tracking billing and licences

The Billing and Licences page is restricted to roles with the appropriate global access. It clearly distinguishes clearly between organisational licences and personal Tralo offers.

  • View the contract status and type, its period, the limit mode, and the Creator and Admin-only licences used by active members.
  • The Owner and the Billing role can amend the billing address. This address is used for financial transactions, but does not grant any administrator access.
  • The price, volumes purchased, end date, contract type and negotiated features cannot be amended via the customer console.
  • With a strict limit, an acceptance or reactivation may be refused. With an authorised overrun, this remains visible in the alerts.
  • Tralo personal subscriptions never alter the organisation’s limits.

Chapitre 10

Monitor security, auditing and exports

The security screens summarise the 2FA status of administrators, known domains, temporary support access , sensitive events and authorised administrative exports.

Security and support access

The Security page displays active administrators and their 2FA status, as well as open domains and temporary support access. Entering a primary domain in Settings does not verify it: no DNS validation customer workflow is currently available.

The Tralo team does not have permanent access to client content. Where a diagnostic check requires it, support access must be justified, approved by another authorised person at Tralo, limited to a maximum of 24 hours and strictly read-only. Its creation, expiry and revocation are audited. The client administrator can view active access requests, but cannot approve, reject or revoke them from this screen.

Audit Log

If the audit log is included, it displays up to 200 recent events authorised by your scope: date, action, actor, target and available IP address. Passwords, secrets and tokens are never stored in this log. A role restricted to a single unit can only view events relating to its branch.

Chapitre 11

Understanding the availability of integrations

Integrations cannot yet be configured via self-service, and there is no ‘Integrations’ section currently available in the customer navigation.

Contact Tralo to confirm whether a connector is available for your deployment and to arrange for it to be . Do not send any identity or API secrets via plain text email.

Chapitre 12

Understanding statuses and read-only mode

An action may be refused even if your role appears to be correct: the organisation’s status and the are also factored into the checks.

In the event of unexpected read-only access, first check the status badge in the Overview and the contract status in Billing. If these pages are not visible with your role, ask an owner or the Billing manager to check them. Authorised exports remain separate actions and may still be available depending on your role and scope.

Chapitre 13

Implementing best operational practices

A few simple routines significantly reduce the risk of forgotten accounts, blocked licences, content with no owner or permissions that have become too broad.

On every new hire

Check the address, assign the minimum role, the correct scope and the intended licence, then verify acceptance and 2FA.

On departure

Transfer the content, deactivate the member and check that at least one active owner, ideally two, ensures continuity.

Every week

Process pending invitations, licence alerts, content under review and administrators without active 2FA.

Every month

Review roles, scopes, archivable units, support access, aggregated trends and audit events.

Before a deadline

Generate authorised exports and request any contractual amendments well in advance.

Chapitre 14

Get help

If an invitation does not arrive, if the last owner can no longer be contacted, if the organisation remains in read-only or if an authorised action fails, the Tralo team can help you diagnose the situation.

Preparing a useful support request

Give the name of the organisation, the address of the account concerned, the section, the action attempted, the exact message, and the date and time. Add a screenshot only if it contains no secrets.

Frequently Asked Questions

Can I invite another administrator?

Yes. Invite them as an Organisation Administrator for overall management, or as a Campus Administrator for a branch. The Owner role is assigned after they join by an active owner.

Why isn’t a section appearing?

Navigation depends on the role, scope and active functions within the contract. An owner can check your permissions; a campus-level scope does not grant access to strictly global screens.

Puis-je devenir administrateur de plateforme ?

No. Platform administration is reserved for Tralo’s internal operations. For a client organisation, use Owner, Organisation Administrator or a specialised role.

Can a campus administrator export only their own branch?

No. CSV and JSON exports of members cover the entire organisation and therefore require a .

Can I disable 2FA?

No, not for accessing Tralo Admin. Two-factor authentication protects the organisation, and a recent verification is required for the most sensitive operations.
